# Content calendar as the hub of your social operation

TL;DR

In **Zynta Flow**, the **content calendar** is where each post is born, goes through client approval, gets scheduled and is published to **Instagram**, **LinkedIn** and **TikTok**. Every entry has a status (from Idea to Published), the AI can plan whole weeks and the publishing queue shows what failed. Scheduling is free; publishing costs 5 credits per network.

The Zynta calendar is the center of the content operation: an idea goes in, gets copy and design, goes to approval, gets a date and time and is published through each network's official API. Instead of a spreadsheet and a separate scheduling app, everything sits on one screen with one status. Here is how it works and where the limits are.

## Knowing where each post stands

Anyone running several brands loses time on the question "was this approved?", because the post sits in a folder and the approval in a chat thread. When something fails, nobody notices until the client asks.

So I made the calendar the place where the status lives. I already wrote a guide on [building a 30-day content calendar](https://www.zyntaflow.com/blog/content-calendar-30-days) and another on [scheduling posts to Instagram, LinkedIn and TikTok](https://www.zyntaflow.com/blog/schedule-instagram-linkedin-tiktok-posts). This post is about what happens between the idea and the published post.

## The status of each entry

Every post entry has one of these statuses: **Idea**, **In progress**, **Ready**, **Scheduled**, **Publishing**, **Published** or **Failed**. Besides posts, the calendar takes notes, ideas, important dates and HTML pages.

You view it by month or by week. Drag a card to another day to change its date (past days are refused). On a phone, a reschedule button does the same without dragging. When a day is crowded, a "+N" opens the list for that day.

## From planning to a finished post

### Plan with AI

The **Plan with AI** button opens a form to build a campaign: objective, theme, network (Instagram or LinkedIn), personas, posts per week (1 to 7) and number of weeks (up to 4). Under more options you add audience, pillars, CTA, special dates and context. On Instagram you can tick **Include Reels**, and about one in three posts becomes a Reel.

It costs 3 credits per delivered post, and the button shows the total first. The result lands on the calendar as **ideas**, not as scheduled posts. That is on purpose: you choose which ideas become posts.

### Month brief

The **Month brief** button opens a read-only list of every post and idea of the month, each with its brief, caption and Reel script when there is one. You can copy it as text or print it and save it as PDF. It works for a client who wants to see the month before approving post by post.

The calendar header also has a **Key dates** button, and any entry can be an important date so nothing slips.

## Approval inside the calendar

Each post has a client approval panel. Click **Send for approval** or copy the link. The client opens the link without creating an account and approves or asks for changes. The card on the calendar shows whether it is awaiting approval, approved or has changes requested. If someone edits the post after it was approved, a warning says so. The link is valid for 90 days.

The brand kit has an option to require client approval before publishing. On, Zynta does not publish a post without approval. Off (the default), approval is informational. The full process is in [client content approval without an account](https://www.zyntaflow.com/blog/client-content-approval-without-an-account).

## How to schedule from the calendar, step by step

1. Connect your accounts under **Connections**.
2. Open **Calendar** and click **New entry** (or **Schedule** in the menu).
3. Choose a post and the main network. Under **Also post to**, tick the other networks.
4. Add media and caption. Set date, time and time zone (Zynta detects your browser's time zone).
5. On Instagram, choose whether the post goes to the Feed or to Stories.
6. Click **Save** to schedule or **Publish now**.
7. Follow up on the publishing page, a queue with three lists: failed, scheduled and published (the last 20).

## What Zynta publishes on each network

- **Instagram**: feed image, carousel (videos included), Reels and Stories. Also first comment, collaborators and people tags.
- **LinkedIn**: personal profile and company page. Text, image, video, multiple images, link and document. A carousel with two or more slides goes out as a PDF. There is a post on [publishing to a LinkedIn company page automatically](https://www.zyntaflow.com/blog/publish-to-linkedin-company-page-automatically).
- **TikTok**: photo and video.

All through the official APIs. Zynta never asks for a social network password.

## When something goes wrong

Zynta checks the scheduled queue every 15 minutes. If the network is still processing the media, the post goes back to the queue and tries again on the next run. On an error there is one automatic retry; if it fails again, the post is marked **Failed** and shows up in the failed list. You get an in-app notification and an email (unless you turned that kind of notice off) when a post is scheduled, published or fails. A post that was already published is never sent again.

## What it costs

Scheduling is free. Publishing costs 5 credits per post per network, charged only after the network confirms. If publishing fails, nothing is charged. The editor shows the cost before you save: a post on three networks costs 15 credits. The brand owner pays.

## The limits

- There is no list view inside the calendar. The list lives on the publishing page.
- There is no different caption per network at creation. Also post to creates one entry per network with the same content; to change one network's text, you edit that entry afterwards.
- **Plan with AI** works for Instagram and LinkedIn and delivers ideas, not finished posts.
- Zynta retries once. If it fails again, you republish by hand.
- To schedule, people who signed up by email need a confirmed email address.
- There is no publishing to X/Twitter.

## Frequently asked questions about the Zynta content calendar

### What is the Zynta Flow content calendar?

It is the screen where each post is planned, approved, scheduled and published. Every entry has a status, from Idea to Published, and can go to client approval through a link. Publishing goes through the official APIs of Instagram, LinkedIn and TikTok, without asking for any password.

### How much does it cost to schedule a post in Zynta?

Scheduling is free. Publishing costs 5 credits per post on each network, charged only after the network confirms it went live. If publishing fails, nothing is charged. The same post on three networks costs 15 credits, and the editor shows that number before you save.

### Can I publish the same post to several networks at once?

Yes. In the editor, choose the main network and tick the others under "Also post to". Zynta creates one entry per network with the same content. Each one publishes or fails on its own, and you can edit the text for each network afterwards.

### What happens if publishing fails?

Zynta retries once automatically. If the network was only processing the media, the post goes back to the queue. If it fails for good, the post shows up in the failed list on the publishing page, you get an in-app and email notice, and no credits are charged.

### Can the AI plan the whole month?

Plan with AI builds up to 4 weeks, with 1 to 7 posts per week, for Instagram or LinkedIn. It costs 3 credits per delivered post. The posts land on the calendar as ideas, so you review them and turn them into content before scheduling anything.

### Zynta calendar or a spreadsheet: what changes?

In a spreadsheet, status, approval and publishing sit in different places. In the Zynta calendar, the post, the client approval, the date and the publishing result live in the same entry, and a failure shows up in a queue instead of going unnoticed.

### Can the client block publishing until they approve?

Yes, if you turn on the brand kit option that requires client approval before publishing. With it on, Zynta does not publish a post without approval. With it off, which is the default, approval shows on the calendar but does not hold the post back.
